Manage and publicize the rental of parish facilities

Rental Coordinator

  • Phones applicants to:
    • Supply information to potential renters
    • Confirm dates
    • Answer questions
    • Set up appointments to view space and sign contracts
  • Meets with applicants at church to show the space and sign the rental agreement
  • Follows up after event to ensure adherence to agreement and reports any problems to the Parish Administrator
  • Accepts keys and returns security deposits after office hours, if needed
  • Proposes new rental rates and policies as needed and brings them to the vestry for approval
  • Works closely with the Parish Administrator and must be available several days during the week and on weekends, as needed.

Rental Coordinate Alternate

  • Fulfills all duties of the Rental Coordinator when the Rental coordinator is unavailable
  • Works closely with the Rental coordinator and Parish administrator to ensure that the facilities rental function is adequately staffed at all times

Parish Administrator

  • Processes rental requests from the web site, email or telephone
  • Checks the availability of dates on the parish calendar and confirms with parish leadership
  • Forwards contact info for prospective renters to the Rental Coordinator or Alternate
  • Adds events to the rental calendar after the agreement is signed
  • Accepts keys and returns security deposits during office hours
  • Informs the parish leadership of any significant problems caused by renters

Review job description and update if needed

May 31

Review rental rules, agreement and rates and update if needed. Bring to vestry for approval.
September 15 Re-sign rental agreements with all long-term renters
